Recreatex version support

With this new release, older versions of Recreatex have been put in End Of Life status: All versions of Recreatex 6.4.x.

The current version support situation is:

  • Full Support: Recreatex 7.3.0 and higher

  • Minimal Support: Recreatex 7.1.0 & Recreatex 7.2.0

  • End Of Life: All versions lower than Recreatex 7.1.0

Warning

Important reminders:

  • As of 14th January 2020 Microsoft has stopped support for Windows 7. We recommend upgrading your systems to Windows 10. To accommodate customers who have not updated yet, Gantner will continue to support Windows 7 (SP1) until the end of 2020. After that time, you will be required to update to a newer version.

  • Microsoft has stopped supporting Office 2003 and Office 2007. We recommend that you update to a newer version. Even though Office 2010 will still be supported by Microsoft until 13th October 2020, we recommend that you upgrade to Office 2016, which will be supported by Microsoft until 14th October 2025.

  • From version 7.1.0 onwards, Recreatex requires .NET 4.7.2. We recommend that you update your systems accordingly.

  • The minimum requirement for SQL Server software is now SQL Server 2016. In order to ensure optimum performance, stability, functionality and security, we have updated our minimum and recommended requirements for the SQL Server software. If you have not done so already, we recommend that you update to SQL Server 2016 in order to run newer versions of Recreatex.

This topic contains more detailed information about certain new features in this version:

POS improvements
POS language management taking into account the language of the employee as well as the customer

When an employee (cashier) logs in, all text in the POS will now be displayed in the language that has been set for this employee. This includes all windows and screens that can be opened from the POS screen. The descriptions of the articles ordered on the POS will also be displayed in the language of the employee, provided that translations are available for those articles.

Note

Please note that the buttons on the POS menu are not translated. You might see tooltips and descriptions on the buttons in a different language. When using multiple languages in the POS, it is still necessary to design multiple versions of the POS menu layout. This means for example a HORECA_NL and a HORECA_FR is made. A possible alternative is to maximize the use of images on the POS menu buttons.

Payment methods are also not translated as this is mostly self-explanatory.

The second display facing the customer and the receipt printer can be set to display the customer's language. Settings: Use second monitor as POS display and Use customer language on second display. If the customer is known in the system (e.g. after scanning a membership card) and the setting is checked, then the second display will automatically switch from the default language to the customer's language. If the customer is anonymous then the default language is used. It is however possible to serve the anonymous customer in his/her language by turning on the setting Ask for ticket language in the window Modify point of sale, tab Various. The POS will then ask the employee to choose the language of the anonymous customer in a pop-up window. The setting Use customer language on ticket defines whether the receipt is in the default language or the language of the customer.

New parameter to prevent the cashier from returning cash

We have provided a new setting on the level of payment methods, tab POS Sales: Amount may exceed the remaining balance. This setting is checked by default for all payment methods. When this setting is unchecked, it prevents the employee from making a return on this payment method.

E.g. The customer has to pay 2,5 Euros but chooses to pay 22,5 Euros with payment method Bancontact in order to get 20 Euros back in cash. This scenario can be avoided by un-checking the new setting. When the cashier attempts to perform this action anyway, the POS will show this error message:

Tabs for outstanding orders have been added to the new POS layout

In the classic POS, the functionality to settle outstanding orders has been available for a long time. The customer can pay for reserved expositions, reservations, tickets, activities, rentals, invoices, things he bought on credit, etc. This functionality has now been added to the modern POS. In order to use this functionality, you have to add it to the POS menu payment screen. Open the point of sale and select the tab Various. Go to Layout POS menu and select Modern, next click Design layout.

In the designer select the tab Payment layout. You will see the default Payment methods panel. Right click on the title bar of the panel and click on Closed panels. Next replace the default panel Payment methods with the new panel Payment methods with outstanding orders. Then you can close the designer and click Save.

Note

In order to use this functionality, make sure to check the setting Allow to pay for existing bookings on point of sale level on the tabs of the modules you want to use this for.

E.G. for Bookings (similar for other modules like Registrations, Ticketing, Invoices, Exhibitions, etc.)

Memberships improvements
Possibility to give one-off entry tickets to the customer in case of a forgotten membership card

In case a customer forgets his/her membership card, it is possible to give him a replacement entry ticket (mostly a day-ticket) and his/her membership will be de-activated for one day. The de-activated membership will become active again the next day, by setting up and running the ActivateForgottenMemberships plugin.

To set this up, go to POS > Parameters > tab Memberships. Here you can fill in the de-activation reason to use when replacing a membership.

Go to article card of the membership item that can be replaced and on tab Memberships, sub-tab Extra you will be able to fill in a Replacement membership item. This replacement item should be a membership item that prints an entry ticket and it can have a price.

How it works: Go to the POS > Extra functions. There you can replace forgotten memberships with following button. It is also possible to put this button directly on the POS.

The Replace forgotten membership window should open. Look up the customer that has forgotten his/her membership. Select the membership to be replaced and click OK.

The replacement item will be added to the basket with a quantity equal to the number of linked cards of the membership. The cashier can still modify this quantity. When finishing the sale, entry tickets will be printed and the forgotten membership will be de-activated with the reason supplied in the POS parameters.

Re-activate forgotten (de-activated) memberships

Since these de-activated memberships need to be activated automatically before the next arrival of the customer, we provide the ActivateForgottenMemberships plugin that can be scheduled to run whenever you want. The plugin will retrieve all the memberships that are inactive and that have a membership manipulation record for a de-activation with the de-activation reason provided in the plugin’s configuration.

Exhibitions improvements
Possibility to add consumption locations to exhibitions

A new tab Counter has been added on exhibition level. Here you can link a consumption (or sales) location.
