What's new in Recreatex 8.2.2

POS

  • We have extended the existing sales questions functionality to allow the asking of custom sales questions during the checkout at the POS (cash register).

  • When selling tickets for events synced from RCX with dynamic pricing functionality enabled the dynamic prices are now correctly applied at the POS.

  • It is now possible to also apply a digital wallet price group discount when selling exhibition tickets and the related automatic/optional articles.

  • The option to automatically close the cash register is now also available for the modern POS layout.

Webshop

  • Gezinsbond integration: Customers can now use their card online to automatically add the reward amount from their purchase to their Gezinsbond account balance.

  • Combi exhibitions: Customers now have the possibility to move/rebook their combi exhibition tickets online, via History and overviews.

  • When sending a confirmation email it is now possible to only exclude the e-tickets from the attachment while keeping other documents (e.g., confirmation or invoice) included in the email.

  • When a new user is creating a profile on the Webshop and selects France as a country, it is now sufficient to enter a zip code while the related city is automatically filled in or a drop-down list is shown if multiple options are available.

  • When moving an exhibition visit to another timeslot the customers now receive a confirmation email containing the updated booking overview and e-tickets.

  • Systempay: New payment provider integration for online sales.

Timeslot ticketing

  • Mandatory membership can now also be configured on the ticket type (article) level rather than on the exhibition level, so it is no longer necessary to create the same exhibition twice if offering different ticket rates for membership holders.

    Additionally, a check is performed on the remaining number of sessions to prevent the customer from ordering more tickets than the number of remaining sessions available on the used membership.

Membership

  • It is now possible to undo a membership cancellation in Recreatex backoffice, at the POS and via the Webshop.

Activities

  • Besides automatically adding a membership with an auto-generated card number, you can now choose to ask for a card number to allow the cashier/employee to link the membership to a card/wristband/etc. that can be given to the customer when registering for an activity.

Self-service kiosk

  • The improved kiosk flow now has a setting option that allows you to display a screen with article categories first, followed by a filtered article list based on the customer's category choice.

  • We have added functionality to allow the use of discount codes/gift certificates in the digital wallet settlement flow.

Integrations & interfaces

  • Go City: A new plugin is available to support access validation with a Go City pass.

Important

Important reminders:

  • As of 14th January 2020, Microsoft has stopped support for Windows 7. We recommend upgrading your systems to Windows 10.

  • Microsoft has stopped supporting Office 2003 and Office 2007. We recommend that you update to Office 2016, which will be supported by Microsoft until 14th October 2025.

  • From version 7.1.0 onwards, Recreatex requires .NET 4.7.2. We recommend that you update your systems accordingly.

  • The minimum requirement for SQL Server software is now SQL Server 2016. In order to ensure optimum performance, stability, functionality and security, we have updated our minimum and recommended requirements for the SQL Server software. If you have not done so already, we recommend that you update to SQL Server 2016 or higher in order to run newer versions of Recreatex.

Ask custom sales questions at the POS

Presenting a set of customized questions during the checkout flow is an efficient way to gather valuable information or feedback from your customers. This functionality has already been available on our Webshop and has now been extended to allow the use of sales questions in the cash register (POS) checkout flow as well.

The functionality is supported on all currently available POS layouts.

1. Create the sales questions

This part of the functionality remains unchanged. For the necessary details, see the section Create sales questions in the Sales admin manual.

2. Activate the sales questions per point of sale

In the Sales admin module, go to Settings > Points of sale and select the point of sale associated with your cash register.

Note

The sales questions, originally under the tab Web, have been moved to a separate tab Sales questions, and are now available in one place for all points of sale, whether it is the Webshop or a cash register.

Under the tab Sales questions, select all questions that you want to activate for this specific cash register POS (1) and specify the order in which the questions should be asked (2).

3. Fill in the questions at the POS

Clicking the Pay button at the POS will trigger the window with questions to appear.

  • Mandatory questions (1) are displayed in red and must be filled in to be able to proceed with the payment.

  • Optional questions (2) can be left unanswered.

Tip

If the customer requests to change an answer, you can return to the shopping cart screen, using the return arrow button (1) and restart the payment flow by clicking the Pay button (2) again.

The questions screen containing the previous answers will appear again. Make the necessary changes and continue with the checkout.

4. Check the customers' answers per sale

In the backoffice application, you can find all questions and answers per sale.

In Sales admin, go to Visualisations > Sales and in the Sales history screen look up the relevant sale. The questions with the answers are available under the tab Sales questions.

If you receive a request to edit an answer after the sale has been completed, you can still open the detail of each question and modify the answer in the tab General.

Gezinsbond integration: Add discount amount to Gezinsbond account balance online

Customers have now the possibility to use their Gezinsbond card online to automatically add the reward amount from their purchase to their Gezinsbond account balance.

The Webshop integration makes use of the existing Gezinsbond counter plugin to define the reward percentage, process the transactions and update the balances on the Gezinsbond side regularly.

Activation

To activate the Gezinsbond functionality on the Webshop, in the Manager application go to General > Settings > tab Loyalty.

  1. Upload the Gezinsbond logo to make it easy for your customers to find the correct field for the Gezinsbond card number on your webshop.

  2. Select the setting Activate Gezinsbond and click Save to activate the functionality.

When articles are added to the shopping cart, the customer has the opportunity to enter the Gezisbond card number and validate the card.

If the card is valid, the current balance is shown (1) and the card is automatically applied to the current purchase (2). Customers also have the possibility to cancel/re-enter the card number (3) if needed.

After finalizing the payment, customers receive a confirmation email where they can see the actual reward amount added to the account and the new balance amount available on the Gezinsbond card.

In the backoffice, you can easily recognize the sales containing a Gezinsbond transaction. Go to Sales admin > Visualisations > Sales and look up the relevant sale.

Timeslot ticketing: Configure required membership on ticket type level

When buying exhibition tickets the customers often have the choice to buy a ticket at the regular price or get discounted or free access if they have purchased a membership previously.

Recreatex now gives you an additional possibility to configure the mandatory membership on the ticket type (article) level rather than on the exhibition level so it is no longer necessary to create the same exhibition twice when offering different ticket rates for membership holders.

Additionally, if you offer session-based memberships the newly implemented check on the number of reserved sessions efficiently manages the reserved, deducted and remaining sessions to prevent the customers from booking more tickets than the number of sessions available on their membership.

The enhanced flow is available via the Recreatex backoffice application, at the POS and on the Webshop.

Configuration

This functionality is available for exhibitions configured to use articles to register a visit:

  • Modify exhibition screen > tab General > setting Use articles to register visit.

For session-based memberships, you need to enable the check of the number of sessions on your membership article:

  • Article card screen > tab Subscr. validity > select the option Check number of sessions. Fill in the total number of sessions and the number of sessions to be deducted per visit.

Now configure all types of tickets under the same exhibition (1) and then further define which ticket(s) require a specific membership (2):

  • Modify exhibition screen > tab Prices > Exhibition rate screen (open the detail of the ticket) > tab Membership >select the required membership(s) from the list of All memberships.

  • If you have enabled the check on the number of sessions for your required membership, shift now to the Selected memberships view and select the option Deduct session on visit.

Important

When you, for any reason, configure a mandatory membership on both, the exhibition and ticket level, the holder of the membership configured on the exhibition level will also be allowed to buy the tickets with a specific membership configured on the ticket level.

New elements in the booking flow

If your exhibition has been configured as suggested above:

  • All tickets (with or without mandatory membership) are shown under the same exhibition. (1)

  • Check is performed on the remaining number of sessions to prevent the customer from booking more tickets than the number of remaining sessions available on the used membership. A message is displayed to warn the cashier/customer that the maximum amount of tickets that can be ordered with this membership has been reached. (2)

In our example, we have configured an exhibition with 2 types of tickets: a regular day ticket that can be purchased without required membership and a free day ticket that requires a specific session-based membership. Our customer is trying to buy 5 tickets that require a membership card number but his membership has only 4 sessions left:

  • In the backoffice application, the employee can select all types of tickets under the same exhibition (1).

  • Each time the employee enters a membership card number a check is performed to see if a session is available. When all sessions are used up, a message is shown (2).

  • At the POS, the cashier is able to select all types of tickets on 1 screen (1).

  • Each time the cashier enters the membership number, a ticket line is added until the point when no more sessions are available on the membership. As no further tickets can be added, a message is shown on the cash register screen (2).

  • On the Webshop, the customer can select all types of tickets under the same exhibition (1).

  • If the customer selects a certain number of tickets that require membership validation, a line is created for each ticket and the required membership is preselected (if the customer has one). In case multiple relevant memberships are available, the customer will have to select one from the drop-down list.

    The customer can also see the initial number of available sessions and can see the number decreasing with each validation. When the amount of sessions reaches 0 no additional tickets can be added (2). The customer has to adjust the order - decrease the number of tickets, select other ticket types that do not require membership or select another membership with available sessions.

When a customer buys exhibition tickets using a mandatory session-based membership(s), the names of all membership holders per ticket are listed in the column Names in the ticket overview of the exhibition visit. You can click on the cell to show the list of all tickets/visitors.

In our example, the customer has purchased 4 tickets with the same membership and 1 additional ticket with the membership of a family member.

Per ticket, the system reserves the needed number of sessions (typically 1 session per ticket) but does not deduct them yet from the total number of sessions. This means that the customer cannot use these sessions elsewhere in the meantime. (1)
